25% faster access to billing information

A simplified overview helps patients quickly find balances, payments, and insurance information.

30% less time spent understanding medical costs

Clear cost breakdowns show total charges, insurance coverage, and patient responsibility, reducing cognitive overload.

20% fewer steps to complete a payment

A simpler payment flow brings payment options and plans together, making it easier for patients to understand their bill and pay.

About
Aven is a digital healthcare platform that helps patients manage medical bills, insurance costs, and payments in one place. We joined as the product was scaling, with the core billing functionality already in place but the experience becoming harder to navigate and understand.
Challenge
Designing a healthcare billing experience meant making complex financial information easier to understand without losing important details. The goal was to simplify medical costs, insurance, and payments while helping patients make confident decisions.
Research & Discovery
We conducted UX research to understand how patients navigate medical bills, interpret insurance information, and make payment decisions. Our goal was to identify key pain points and create a clearer financial journey.
Process
We redesigned the billing experience around a clear journey: understand the bill, review the details, and decide what to do next. We combined UX research, usability testing, and healthcare UX design to reduce friction and make financial information easier to access.
Key solutions
We focused on the unique challenges of healthcare software used by patients and healthcare professionals. The goal was to create a simple, intuitive experience that reduces frustration and makes everyday healthcare tasks easier to manage.
Results
The redesigned experience made healthcare billing easier to understand and manage. By reducing friction across key workflows, we created a more usable experience for patients and a stronger foundation for future development.
Lessons & Reflections
This project showed us that good healthcare UX makes complex systems easier to understand without removing the information people rely on. Even small design choices can have a meaningful impact on usability, trust, and patient engagement.

A patient-first billing platform
  • A digital healthcare application that brings medical bills, insurance information, payment history, and outstanding balances together
  • A patient-facing experience designed to work across different healthcare providers and services
  • A single place where patients can easily access their financial information and manage payments

The problem we set out to solve

Patients were struggling to understand what they owed, why they owed it, and what their insurance covered. Complex billing information, unfamiliar terminology, and fragmented payment flows created cognitive overload and made an essential part of the healthcare experience harder to navigate.

Our role in the project
  • Conduct UX research and user interviews to understand how real users manage healthcare costs
  • Turn complex billing and insurance information into clear, user-friendly experiences
  • Create intuitive navigation and data visualization for financial information
  • Simplify payment and payment-plan flows while keeping sensitive information clear and accessible
  • Build a scalable design system to support future development of the healthcare product

What we learned early on

01

Patients need context, not just numbers

Patients needed more than a balance. They wanted to understand the charges, insurance coverage, and final cost.

02

Uncertainty delays action

When patients weren’t sure whether a bill was final or what would happen after payment, they were more likely to pause or seek help.

03

Financial stress affects the experience

Medical costs can already be stressful. Dense interfaces, unfamiliar terminology, and unclear next steps added unnecessary cognitive load.

What we prioritized

01

Clear financial information

We focused on making balances, insurance coverage, and patient responsibility easy to scan and understand.

02

Confident payment decisions

Payment options, payment plans, and next steps needed to be visible without making the experience feel overwhelming.

03

Simple, predictable navigation

We created clear paths between bills, payment history, insurance information, and payment actions.

Who we designed for

We focused primarily on patients managing their own healthcare costs, with different levels of financial and healthcare literacy.

Patients managing medical bills
Patients managing medical bills

Users who need to review charges, understand insurance coverage, and pay outstanding balances.

Patients with recurring healthcare costs
Patients with recurring healthcare costs

Users managing multiple bills or ongoing healthcare services who need a consistent way to track and manage payments.

01

UX strategy & Flows

We mapped the key patient and administrative workflows to understand where the healthcare system created unnecessary complexity and frustration.

  • Restructured billing and payment flows around the way patients actually manage healthcare costs
  • Connected medical services, insurance coverage, and patient responsibility in one clear journey
  • Simplified complex financial information without hiding details patients may need
  • Reduced unnecessary steps between reviewing a bill and completing a payment
  • Designed clear paths for new users while keeping familiar patterns for returning patients

02

UI design & Visual language

The visual language focused on usability, accessibility, and clear communication of health data and financial information.

  • Prepared a clear hierarchy for balances, medical costs, insurance coverage, and payment status
  • Used data visualization to make complex healthcare information easier to understand
  • Designed accessible interfaces that support users with different needs and abilities
  • Added clear feedback and interaction states to help patients avoid errors and frustration
  • Used good design practices to make important information easier to scan across devices

03

Design system & Implementation support

We built a reusable foundation to support consistency and make future development more efficient.

  • Built reusable components for billing, insurance, payments, and financial summaries
  • Standardized patterns for displaying sensitive health data and financial information
  • Defined consistent states for payments, errors, confirmations, and pending transactions
  • Considered accessibility and regulatory compliance throughout the design system
  • Collaborated closely with developers to maintain design quality and ensure smooth implementation
01
Clear financial overview for easier patient management
The problem:

Patients had difficulty understanding their healthcare costs and finding the information they needed, causing unnecessary frustration during an already stressful healthcare experience.

Our solution:

We introduced a clearer financial overview that organized key information into simple, easy-to-scan sections.

The benefit:

Patients could understand their costs faster and manage their healthcare tasks with less effort.

Patients spent less time understanding billing information,
with ~30% less time spent

02
Unified information for faster access
The problem:

Important information was spread across different sections of the software, making routine administrative tasks harder to complete.

Our solution:

We brought essential information into one structured view, making key actions and resources easier to find.

The benefit:

A more predictable experience helped users avoid frustration and spend less time searching for information.

Patients accessed key information faster,
with ~25% less time spent

03
Simpler payment flow for better engagement
The problem:

The payment process included unnecessary steps and made it difficult for users to understand their available options.

Our solution:

We simplified the flow and made key actions more visible, helping users move through the process with greater confidence.

The benefit:

The new experience reduced friction and made it easier for patients to complete an important healthcare task.

Patients completed payments in fewer steps,
with ~20% fewer steps overall
